The Office of Graduate Education (OGE) in the Stanford University School of Medicine provides centralized programs, services, and advocacy that empower all Biosciences PhD and masters students and the faculty and staff who support them in order to enhance the training experience.   We promote the development of community and personal resilience through a lens of diversity, inclusion and equity.  We work to diversify the Biosciences through outreach and training.  

The Associate Director of Biosciences Diversity Programs (Student Services Officer 3) will provide leadership for diversity and inclusion focused initiatives within the Office of Graduate Education that meet the needs of diverse PhD and Masters students in the biosciences, and engage with partners within the School, across Stanford and externally to develop, identify, and disseminate best practices for fostering inclusion in graduate education.

The Associate Director will directly administer the Biosciences ADVANCE Summer, Academic Year, and Undergraduate Institutes—comprehensive year-round programs aimed at promoting the professional, academic, and personal development of underrepresented, disadvantage, and other vulnerable student populations in the biosciences.  They will also represent OGE at conferences and numerous school recruiting visits that seek to increase interest in the Biosciences by a diverse group of potential applicants.

Duties include:
  • Determine a strategy, develop, implement and assess the effectiveness of OGE programming and initiatives that increase diversity, inclusion and equity for students from diverse backgrounds in the biosciences. 
  • Manage all aspects of the ADVANCE Biosciences diversity programs (ADVANCE Summer institute, ADVANCE 2/3 academic year programming, and ADVANCE Undergraduate Institute [formerly known as Preview]), including: partner with the Faculty Director to develop strategy and goals;  develop, implement, and administer ADVANCE programs, including academic and professional development workshops, mentor trainings, and community-building; solicit faculty to participate, educate faculty, and work with faculty to identify mentoring environments; manage 10+ graduate student staff; develop and steward faculty, alumni, and industry partners for ADVANCE curriculum and activities; provide one-on-one one mentorship to graduate students on academic and professional concerns; Gather and analyze student and other stakeholder feedback for ongoing evaluation, continuous feedback and program improvement; oversee $300K program budget.
  • Work with offices across Stanford University to create and cultivate a comprehensive and ongoing supportive academic research environment for students from diverse backgrounds
  • Significant autumn travel to conferences and institutions to recruit prospective graduate students from diverse backgrounds.
  • Manage the Office of Graduate Education travel grant application process
  • Manage outreach programs, relationships with external community and university liaisons.
  • Participate in on-campus outreach efforts (faculty talks, student panels, lab tours, etc) for prospective students of diverse backgrounds.
  • Engage in critical analysis of student and program concerns to resolve substantial issues which may span multiple areas, using advanced technical and professional knowledge.
  • Provide direct advice to students on a range of issues including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., in order to assist them in making appropriate choices and decisions. 
  • Resolve multi-dimensional matters in response to students in crisis, at risk, or who have other program issues, counsel students on sensitive and confidential issues 
  • Collaborate with others to help resolve program issues and concerns, interpret and implement university policies, and mediate complex and sensitive issues.
  • Manage financial processes and development of budgets for diversity and inclusion related programming.
  • Provide consulting advice to internal and external organizations; act as subject matter expert for diversity and inclusion. 
  • Lead School and university wide teams and projects for diversity and inclusion initiatives such as the Biosciences Diversity Advocacy Council (BDAC), STANDOUT (Stanford Diversity Outreach for Doctoral Education).
  • Direct the work of other employees; contribute to development of staff training programs.

  • Advanced degree in a relevant field
  • Previous experience in program coordination, student services or related field
  • Detailed knowledge of the range of challenges that graduate students encounter; strong ability to identify needs and to help provide for those needs
  • Expertise in issues of diversity in higher education and knowledge of theory and practice related to achieving inclusion
  • Experience with program development
  • Ability to balance the management of long-term, complex projects with day-to-day program activities and communications
  • Experience serving as a mentor in an educational setting
  • Ability to produce effective digital communications
  • Excellent oral, written, and analytical skills
  • Ability to oversee and direct staff
  • Experience (formal or informal) mentoring and/or advising students in a university environment
  • Discretion in handling sensitive and/or confidential student and university information
  • Advanced facility with standard office software (or ability to learn); including communications and research software (e.g, Word, Excel, Tableau, Qualtrics, MailChimp, Caspio, SlideRoom, or similar platforms)
EDUCATION & EXPERIENCE (REQUIRED):  Bachelor's degree and five years of relevant experience, or combination of education and relevant experience.

  • Advanced communication skills to clearly and effectively communicate information to internal and external audiences, client groups, and all levels of management.
  • Strong analytical and problem solving skills to review and analyze complex information.
  • Advanced computer skills, including experience with Microsoft Office Suite.
  • Advanced customer service skills.
  • Relevant computer systems/technology experience.
  • Understanding of financial transactions.
  • Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.
  • Frequently sit, perform desk-based computer tasks.
  • Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.
