Department/Program Description: Art & Art History


Position Summary: The Department of Art & Art History is seeking a Student Services Specialist to serve as the primary resource for approximately 145 undergraduate students in three department majors and minors, two undergraduate Honors programs, and a co-terminal Master’s degree, and provide related support to faculty. The SSS manages multiple critical projects including WASC reporting requirements, management of the Arts Portfolio application, department materials grants, and hires and manages three undergraduate Peer Advisors. The SSS develops, implements, and seeks to improve processes and procedures including major/minor declaration, peer advisor recruitment and hiring, and CPT and internship course enrollment.

The SSS makes recommendations and resolves questions on issues regarding admission, financial aid, advising, registrar services, visa services, and academic services. This role also provides advice to students on a range of issues, including academic program policies, academic progress, and career plans, to guide them in making appropriate choices and decisions. The SSS works closely with the Directors of Undergraduate Study and other department faculty and offices across the University, typically Admissions, the International Center, Office of the Registrar, and Undergraduate Advising and Research, to resolve student issues. The SSS reports to the Student Services Manager and will be cross-trained in the requirements and systems of the graduate programs in order to provide backup support for that role. The SSS is responsible for departmental undergraduate recruitment activities, including participation in the university-wide Admit Weekend event. The SSS uses a variety of web-based applications including PeopleSoft, Oracle BI, Slideroom, and Google forms. The Student Services Specialist should demonstrate excellent problem-solving skills and judgment, be detail oriented, highly motivated, enthusiastic, well-organized, and able to work independently. In this role, you will:
  • Review documents and forms for completeness, track files for follow up and distribute for review.
  • Research and resolve routine issues, refer complex issues to other staff.
  • Input data, update electronic databases, web sites, literature, and associated materials. May collect, gather and validate data, prepare basic reports.
  • Coordinate logistics for outreach activities, meetings, and events.
  • Respond to routine inquiries from students, faculty, external constituents, and staff.
  • Serve as a subject matter resource to students and other departments.
  • Contribute to general office administration and process improvements.
  • May train and direct day to day activities of student and temporary workers.

To be successful in this role, you will bring:
 
Education & Experience:

Associates degree and one year of relevant experience, or combination of education and relevant experience.

 
Knowledge, Skills and Abilities:
  • Strong written and verbal communication skills.
  • Basic computer skills, including experience with Microsoft Office Suite.
  • Customer service skills.
  • Basic office administration skills.
  • Ability to learn compliance with legal, financial, and university policies and external regulations.

PHYSICAL REQUIREMENTS*:
  • Frequently sit, perform desk-based computer tasks.
  • Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.
