The Faculty Support Team (FST) at Stanford Law School, seeks a full-time Student Programs and Administrative Support Specialist to join its dynamic administrative, academic, and legal services team. As a premier administrative support unit, the FST plays an integral role in supporting faculty and other academic staff with the development and implementation of academic content for students as well as general research and teaching agendas.  This position will provide support to the Associate Dean of Students, Associate Dean of Diversity, Equity, and Inclusion, and other student programs, and will report directly to the Director of Faculty Support Services and Administrative Process Improvement.

This role is well suited to a person with experience in diversity, equity, and inclusion initiatives, or with similar levels of knowledge and training. The successful candidate will have demonstrated experience providing a broad range of administrative support, as well as a deep commitment to cultural humility, equity, and inclusion. The candidate will also have a working understanding of culturally responsive engagement and experience providing programming and/or services to a diverse group of people.

In this role, you are expected to work collaboratively with many departments within the Law School and externally to achieve a broad range of programmatic and academic goals. This position works with the Deans of Students and DEI, reports to the Director of Faculty Support Services, and is expected to work independently but also as part of a team dedicated to the law school’s mission.

Core Duties:

  • Respond to inquiries from students, faculty, external constituents, and staff and take appropriate action as required.  Serve as a subject matter resource on policies and procedures.

  • Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.  Examples of this would be administering and managing a broad range of programs, services, and activities that are student-facing and/or impact students. Coordinate logistics for outreach activities, meetings, and events.

  • Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, reports, brochures, and displays.

  • Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.

  • Process and monitor routine financial transactions, which may include researching and resolving discrepancies.

  • Review documents and forms for completeness, track files for follow up and distribute for review.

  • Other duties as assigned.

  • The ability to represent the organization to the public as well as interface with all levels of students, staff and volunteers while maintaining tact, diplomacy and confidentiality.

  • Experience with and commitment to working with colleagues from diverse backgrounds to support an inclusive and productive work environment.

  • Experience working on programs and services explicitly designed to engage with and address issues of cultural identity, cultural bias, and creating community across groups with different backgrounds is strongly preferred. 

  • Excellent judgment at all times and especially when dealing with sensitive issues/situations.

  • Experience exercising discretion and confidentiality with sensitive information.

  • Ability to think proactively, anticipate problems, analyze situations, develop effective solutions, and take initiative to facilitate smooth operations and schedules.

  • Ability to take initiative and ownership of projects.

  • Ability to routinely and independently exercise sound judgment and maintain confidentiality in making decisions.

  • Will be expected to gain working knowledge of Stanford systems, including Oracle, if not already proficient.



Education & Experience:

High school diploma and three years of administrative experience, or a combination of education and relevant experience. Bachelor’s degree, and research or administrative experience in a corporate or academic setting are strongly preferred.

  • Proficient computer skills and demonstrated experience with office software and email applications.

  • Demonstrated success in following through and completing projects.

  • Strong organizational skills and attention to detail.

  • Strong verbal and written communication skills.

  • Excellent customer service and interpersonal skills. 

  • Ability to prioritize and multi-task.
