Property Control Coordinator 

The Property Control Coordinator provides material and logistical support for I&M and other groups within UIT. This includes the procurement and distribution of telephones sets, support equipment, voice, and data services on campus.
Purchase Order expediting and tracking, order placement, receiving with packing slip processing, delivery and vendor file updates.
The Inventory Control Specialist reports to the I&M Manager of UIT/IT Infrastructure.

 

Job Summary:

Complete packing list processing and forward to Admin for vendor payment. Record and track cost savings for all the buyers. Update all procedures related to inventory control. Monitor inventory levels in Pinnacle and Rapid Fire and verify quantities and condition of all equipment received from vendors. Receives shipments by inspecting packages for visible damage and ensure accurate package counts. Track and maintain high volume inventory items in stock.

 

Duties and Responsibilities:

Purchasing Activities: 30%
Purchase of telephones, tools, Kronos clocks, Campus Card equipment and various other supplies using blanket order releases, rapid purchase orders, standard requisitions, and department credit card. 
Establish annual Blanket Orders with equipment vendors by submitting RFQ’s (Request for Quotation), and generating required on-line paperwork for University Procurement department. 
Facilitate the repair of defective tools and misc. equipment. 
Ship defective telephones for repair with contracted vendors.
Process necessary paperwork for all shipping activities.

 

Property Control Activities: 50%
Prepares the month end COGS (Cost of Goods Sold) report and the monthly inventory reconciliation report of university inventory equipment for I&M Manager and Business Services.
Follow Stanford’s Administrative Guide for inventory management.
Issue and track tools distributed to technicians and monitor expenditures on tools purchased. 
Perform quarterly inventory audits to compare physical to pinnacle inventory.
Track and reconcile A-Stock telephone issued vs. sets billed to clients. 
Track and reconcile B-Stock telephones issued vs. trouble ticket records. 
Track and inventory Campus Card equipment and materials.
Coordinate and maintain equipment in the I&M storage containers.
Enter work orders and telephones needed into Rapid Fire from Phone Logs 
Stock and manage all UPS related equipment.
Manage and stock all CATV equipment. 

 

Technical Activities: 10%
Burn-in DCT boxes for CATV installations using the Cablebridge application.
Program and stock Kronos clocks for I&M deployment.
Stock VoIP telephones Test telephones prior to installation.
Reprogram LNX devices at test bench using DOS commands.

 

Pickup and Delivery Activities: 5%
Pickup DCT boxes from Stanford West apartments and Student Housing.
Deliver phones and phone related equipment from assigned work orders.

 

Miscellaneous Administrative Duties: 5% 
Responsible for maintaining a clean, safe and healthy work environment. 
Special duties as required by management.
 

Qualifications
Minimum of 5 years demonstrated work experience or certificate in purchasing, customer service, inventory control, merchandising operation, and telecommunication sales. Pinnacle and RapidFire systems experience highly desirable. Excel and Microsoft Office proficiency required. Must be familiar with JIT inventory management, Bills of Material, EDI, expediting, accounting, computer literate and work place safety. Ability to lift 70 to 100lbs regularly. Communicates clearly and effectively. Experience and or education equivalent to a Bachelor’s Degree in business administration. Completed APICS (American Production and Inventory Control Society) course work and telecommunications experience highly desirable.

 

Certifications desired:
Cisco VoIP 
Fiber: Fluke, Light Brigade or Corning 
BICSI Certification: Installer Level II or higher 
Leviton and Systemax Contractor Connector Certification 
Network training 
Broadband Digital Installer (jonesncti) 
Nortel Voice
