This role’s responsibilities include: 
  • Participate as a full member of the University Innovation Fellows team, by taking part in regular team meetings and proactively communicating and collaborating with team members, and other collaborators.
  • Provide support leading up to and during events which we organize locally at Stanford, in other United States cities, as well as internationally. This includes securing spaces at Stanford and beyond, ordering food (including separate accommodations for those with dietary restrictions), securing janitorial services, purchasing supplies, printing materials, negotiating hotel and bus contracts, renting and driving 12-passenger vans, and training and overseeing volunteers who support our events.
  • Organize and participate in program operations and outreach. Be a friendly first point-of-contact for students and faculty, managing the registration, acceptance and logistics communication process for events, answering questions via email, obtaining and processing information from attendees from a range of countries, as well as acting as an on-site point-of-contact for attendees.
  • Verify Purchase card transactions and Travel card expenses for the team (sometimes in different currencies), process an array of financial transactions, ensuring work complies with complex internal policies and external regulations which may require interpretation. Keep track of and process revenue collected from multiple sources, in the form of checks and bank transfers, in collaboration with the d.school Finance team.
  • Review accounting transactions and documents for completeness, accuracy, and compliance; and resolve accounting issues by identifying data anomalies, deviations from established procedures, and unusual issues. Run, review, analyze and share financial reports.
  • Recommend, assist, test, or implement process streamlining, system improvements or work flow changes.
 
 

To be successful in this position, you will bring:

  • Bachelor’s degree and three years of relevant experience, or combination of education and relevant experience.
  • Demonstrated experience with cloud-based applications, including Google Docs (including text, spreadsheets, slides, and forms) and Google Drive.
  • Understanding and ability to apply accounting skills and concepts.
  • Strong organizational skills,  keen attention to details, and demonstrated success in following through.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • A proactive attitude in identifying program needs and challenges, and a bias to action in resolving those challenges.
  • An ability to prioritize and provide a self-directed approach to project management.
  • Fluency in Salesforce and/or Foundation Connect is a plus.
