Stanford Libraries is seeking a full time, Human Resources Associate (Human Resources Administrator) to join our Human Resources team. Job Purpose:

Stanford Libraries consists of a staff of over 400 employees and approximately 150 contingent staffing. As an integral Stanford Library HR team member provide human resources program support to Stanford Library and SU Press staff, managers, and contingents, to include planning, processing, implementation, auditing and reporting to meet established deadlines. Act as a first point of contact for human resources inquiries and serve as a resource on policies, procedures and practices.

Core Duties:

  • Implement/perform HRIS data management activities, including PeopleSoft transactions. Monitor personnel actions through reporting to ensure data integrity and compliance, and research and resolve pay issues. Develop and maintain a variety of reports and queries. Analyze and monitor data to recommend and implement process improvements.
  • Manage the vacancy to hire process for assigned areas. Facilitate the recruitment process by providing advice to hiring managers on job postings. Selecting and developing Job descriptions, creating a search plan to include background checks, placing advertisements, diversity outreach, and identify recruitment strategies for difficult to recruit positions and posting jobs.
  • Responsible for student hiring process and assist managers in determining appropriate salary placement. May conduct analysis to determine salary inequities and provide recommendations to manager/director.
  • Provide first line HR support to Stanford Libraries Staff, Managers and Contingents, problem-solving issues e.g., pay, time, and leave, policy interpretation.
  • Develop and maintain HR operations workflows, streamlining processes, forms creation and maintenance; make recommendations; write documentation. Maintain the Stanford Libraries HR consul site.
  • Communicate workers’ compensation, disability, leave policies and procedures. Manage appropriate documentation and generate related correspondence. May update reports to track leaves and maintain HRIS records. Assist HR Manager with workplace accommodation and restrictions process.
  • Coordination of the annual performance appraisal and salary planning processes. Gather data and/or generate reports to support the performance appraisal and annual salary planning processes to include 9/1 salary implementation.
  • Interpret human resources policies
  • Perform/coordinate training as appropriate e.g., time and leave, workers comp, presentations of annual performance appraisal process.
  • Manage the calendar and coordinate access for the Libraries Lactation rooms.
  • Oversight and maintenance of personnel and human resources related files.
  • Manage onboarding and exit processes; conduct exit interviews for assigned areas.
  • Supervise HR contingent(s).
  • Support and/or implement compliance programs.
  • Conduct research in support of workplace investigations as necessary.

MINIMUM REQUIREMENTS:

Education & Experience:

  • Associate degree and four years of relevant experience, or a combination of education and relevant experience.

Knowledge, Skills and Abilities:

  • Demonstrated experience applying and interpreting human resources policies and procedures.
  • Demonstrated experience successfully managing programs and/or projects.
  • Strong attention to detail and accuracy.
  • Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgment, tact, and discretion.
  • Ability to work independently, consistently follow through with projects and assignments, and meet deadlines.
  • Excellent oral and written communication skills to independently draft effective correspondence and documentation.
  • Demonstrated strong and effective interpersonal and customer service skills.
  • Strong analytical, critical thinking and problem-solving skills.
  • Strong computer skills, including Microsoft Office suite (Outlook, Word, Excel, and PowerPoint).
  • Must be skilled in human resource management systems, such as PeopleSoft and time/leave systems. Experience using email and internet.

Physical Requirements*:

  • Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
  • Occasionally write by hand, twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, lift/carry/push/pull objects that weigh up to 10 pounds, sort/file paperwork.
  • Rarely kneel/crawl, operate foot and/or hand controls.

Working Conditions:

  • Travel on campus to schools/units, out of town.
