ABOUT STANFORD UNIVERSITY AND RESIDENTIAL & DINING ENTERPRISES:

Stanford University, located between San Francisco and San Jose in the heart of California's Silicon Valley, is one of the world's leading teaching and research universities. Residential & Dining Enterprises (R&DE), the largest auxiliary organization at Stanford University, supports the academic mission of the University by providing high-quality services to students and other members of the university community. The department has an annual operating budget of over $350M, operates 24/7/365, and oversees a $3B asset portfolio comprising a 7 million sq. ft. physical plant across the campus. In autumn quarter of the 2021-22 academic year, R&DE will return to providing housing for over 13,000 students and dependents, serving meals at 17 dining halls, 12 retail locations, and operating athletic concessions and conference operations. Additionally, R&DE comprises 900 FTE staff in the following divisions: Student Housing Operations, Stanford Dining, Stanford Hospitality & Auxiliaries, Stanford Conferences, Maintenance Operations and Capital Projects, and a team of R&DE strategic business partners: Finance & Administration, Information Technology, Human Resources, and Strategic Communications.

This role is currently designated as hybrid and may provide incumbents with flexibility for partial telecommuting.

JOB PURPOSE:

Perform, independently, moderately complex finance functions and/or activities related to transactions, accounting, budgeting and forecasting requiring specific knowledge, skills, and broad application of policies, precedents, and systems within context of internal policies and external regulations. Manage payments and purchase orders for off campus housing. Track lease records and prepare reporting. This position will also have a supporting role to help with month-end accounting and analytics in the central budget areas of R&DE (SrAVP).   

CORE DUTIES:

·       Maintain lease and occupancy records and prepare reports; track renewals

·       Manage the invoice and payments for off campus housing and ensure timely payments for rent, furniture, utilities and miscellaneous items

·       Issue purchase orders and maintain adequate funding for scheduled services, rent, furniture and utilities.

·       Evaluate key controls, develop new processes for streamlining existing procedures, templates and reports for enhancing controls.

·       Analyze financial data and create journal entries to record operational transactions.

·       Perform structured analysis; conduct data mining; identify, clarify, and investigate discrepancies and exceptions; proactively develop solutions and processes.

·       Maintain, reconcile, review, combine, and validate financial data sets and accounts, utilizing financial reports, financial databases, and key financial information.

·       Contribute to development of budget, forecasting, and analyses to be used for key activities or decision making.

·       Run and analyze financial reports, often from multiple systems; assist in preparation of management information reports.

·       Resolve issues within immediate work unit; Perform preliminary analysis, recognize exceptions and recommend solutions that may require policy changes or the development of new processes.

·       Ensure works complies with complex internal policies and external regulations which may require interpretation.

·       Participate as a member of a project team and contribute to change management strategy through communication and collaboration with others.

·       Serve as a first line resource to client groups on matters in work unit.

·       Understand and participate in cross training on core functions in work area or unit; serve as a back-up to other functions.

·       May supervise the day-to-day activities and provide on the job coaching and training to other staff, as needed.

MINIMUM REQUIREMENTS:

Education & Experience:

Bachelor’s degree and two years of relevant experience or combination of education and relevant experience.

Knowledge, Skills and Abilities:

·       Advanced proficiency in business applications, such as Microsoft Office suite, especially Excel.

·       User knowledge and demonstrated experience of financial systems; internet and computer literacy.

·       Understanding and ability to apply basic accounting skills and concepts.

·       Demonstrated communication skills, including ability to prepare materials for and clearly and effectively communicate information  to internal audiences and client groups.

·       Basic project management skills and ability to contribute as part of a project team.

·       Constantly sitting.

·       Frequently perform desk-based computer tasks, use telephone, writing by hand, sort/file paperwork.

·       Occasionally stand/walk, lift/carry objects weighing 11-20 pounds.

·       Rarely reach/work above shoulder.

The expected pay range for this position is $93,000 to $104,000 per annum.

The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
