Office of the Vice Provost for Graduate Education

The Office of the Vice Provost for Graduate Education (VPGE) is a dynamic and fast-paced team that delivers programs to Stanford’s 9,000+ graduate students and 3,000+ postdoctoral scholars. We work collaboratively across the university with schools and other vice provost areas to enhance the graduate educational experience. We support programs, administration, and service to the university community and graduate students in five portfolio areas: fellowships and funding, professional development, diversity and inclusion, interdisciplinary learning, and academic guidance.

 

VPGE is seeking an executive assistant who can provide advanced and diversified administrative support to the vice provost. Reporting to the vice provost, you will develop your strengths in working autonomously with delegated authority to exercise discretion and judgement regarding significant matters on behalf of the vice provost. You will thrive in an environment where you enjoy anticipating the vice provost’s needs, proactively solving problems, and independently handling issues.

 

In this role, you will:

  • Coordinate the vice provost’s activities including management of a complex calendar, travel arrangements, and associated logistics.
  • Independently commit the vice provost's time based on an in-depth understanding of the vice provost's priorities, needs, and role within the university.
  • Prioritize, plan, and coordinate meetings with individuals including senior staff, donors, and government officials.
  • Serve as the vice provost’s liaison to various internal and external constituencies as well as keep the vice provost informed of matters requiring their attention.
  • Anticipate organizational issues, track critical dates, and follow up with appropriate parties to ensure deadlines are met.

 

To be successful in this role, you will bring:

  • Bachelor’s degree and seven years of relevant experience or combination of education and relevant experience.
  • Extensive high-level administrative experience supporting executive positions.
  • Excellent verbal and written communication skills including editing and proofreading.
  • Excellent planning and organizational skills.
  • Demonstrated ability to cultivate positive working relationships.
  • Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy and tact.
  • Ability to multitask, adapt to changing priorities, and meet deadlines.
  • Advanced computer skills and demonstrated experience with office software and email applications.
