The Research Hub Events Team supports Stanford University,  Graduate School of Business academic and research-related conferences and events, both in-person and virtually. They assist in all phases of events from initial planning through day-of support. For in-person events, they are responsible for venue reservation and layout, security, ticketing/participant check-in, catering, materials, swag, parking, transportation, and signage. During virtual events, the team acts as “stage managers” and the “production team” for smooth transitions in meetings and webinars.  

 

The Events Planner will be part of this highly collaborative team assisting in the planning and execution of Stanford GSB’s in-person, hybrid, and virtual events, including high-profile speaker talks, academic conferences, and student-facing educational opportunities. This role will support many facets of in-person, hybrid, and virtual event management logistics including day-of-event support; the job will also entail independent management of several small events. The Events Planner will need to prioritize tasks in the face of frequently shifting priorities.  This role is hands on, requiring someone who is willing to roll up their sleeves and get things done. The perfect candidate is passionate about creating a wonderful experience for attendees, both in-person and virtually, and is also a team-player who enjoys working as part of a  team to produce an exceptional experience 

 

Your primary responsibilities include: 

  • Serve as a member of an in-person, hybrid, and virtual events team 

  • Design, plan, implement, and coordinate customized in-person, hybrid, and virtual events. 

  • Contribute in a wide variety of functional areas including decisions around budget allocation, event logistics, and facilities. 

  • Demonstrates strong critical thinking skills and ability to problem solve and come up with solutions and recommendations. 

  • Work with Event Managers to create and edit event collateral in Adobe Suite 

  • Evaluate and select vendors and providers of services considering stakeholder requests and requirements. 

  • Consult with stakeholders to determine objectives and requirements. 

  • Inspect event facilities to ensure they conform to the event needs. 

  • Manage accounting and reporting operations relating to registration, including daily accounting procedures and reports, final monetary summaries, and/or account transfers. 

  • May serve as project leader on smaller-scale events, coordinating teams that plan, implement, and manage all aspects of events or manage program elements of larger-scale events. 

  • Utilize and/or maintain complex databases. May use specialized event planning software. 

  • May inspect event facilities for maintenance, janitorial, and fire safety issues. 

  • Manage the creation and placement of event signage throughout Stanford’s campus. 

  • Perform administrative tasks such as printing name cards and signage, organizing and maintaining event inventory, and assisting with event set-up and tear-down.

To be successful in this position, you will bring: 

  • Associate degree and three years of relevant experience or combination of education and relevant experience. 

  • Demonstrated success in planning events. 

  • Demonstrate a strong understanding of various digital and virtual event technologies. 

  • Team player. Must be an encouraging, supportive team member. 

  • Exceptional Zoom Webinar and Meeting technical skills. 

  • Ability to work both independently and as part of a team. 

  • Working knowledge of Adobe Illustrator, InDesign, and Photoshop. 

  • Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines. 

  • Demonstrated creativity, problem-solving skills, taking initiative, judgment, and decision-making skills. 

  • Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness. 

  • Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detailed oriented. 

  • Knowledge of Microsoft Office suite and other online documents, such as Google Docs. 

  • Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers. 

 

In addition, our preferred requirements include: 

  • Experience with registration websites, particularly Eventbrite and Certain.com.  

 

Certifications and Licenses: 

  • Valid Non-Commercial Class California Driver’s License.
