The Office of Postdoctoral Affairs (OPA) is seeking a Diversity Programs & Fellowships Manager with experience in program and project management as well as a commitment to developing and supporting initiatives that empower postdocs, especially those from underrepresented groups, to thrive within academia and beyond. The successful candidate will be independent, curious, collaborative, and creative; have very high administrative and organizational acumen; and have a knack for learning and understanding stakeholder needs and interests and researching and developing best practices, as well as an openness to engaging in evaluation, feedback gathering, and ideation to drive continuous improvement. This position is a key contributor on the OPA team, co-developing and supporting initiatives focused on the most vulnerable points of postdoctoral training: recruitment, early engagement, and career transition. A person with a deep commitment to supporting inclusive programs and initiatives, creating a dynamic and welcoming community, and providing guidance and mentoring to individual postdoc candidates, current postdocs, faculty, administrators, and others within the postdoc ecosystem, will impact the environment supporting postdoctoral training at Stanford, and in turn to influence the future academic workforce.


The Office of Postdoctoral Affairs is a fast-moving, agile office that administers and supports the more than 2400 postdocs on campus. OPA is one of the leading postdoc offices in the country and seeks to provide the best service to its constituents – the postdocs, faculty, and departmental administrators. Through close working relationships throughout the University, the Postdoctoral Fellowships Manager will inform and support equitable recruitment and hiring practices, foster belonging, and better enable postdocs, especially those from underrepresented backgrounds, to thrive. 


The Diversity Programs & Fellowships Manager will have a lead program management role, managing multiple postdoctoral fellowship programs. As the new School of Medicine Propel Fellowship launches, the Manager will work to develop, support, and refine administrative processes, co-develop and implement programmatic activities and events, assist in program assessment, and serve as the face of the program. These responsibilities include, but are not limited to: advertising and program communications, logistics and financial management, overall process/program evaluation and improvement, working with faculty and administrators, coaching potential recruits, and building and supporting community for fellowship awardees while they are associated with these fellowships. A fundamental understanding of the biosciences and the landscape of research therein will be extremely helpful in managing administrative processes and serving constituents of these fellowships. 


As the primary contact for potential candidates and applicants, appointed postdocs, partner faculty, and others associated with and supporting these fellowship programs, the Diversity Programs & Fellowships Manager will provide information and guidance to faculty and administrators, advice to program applicants and participants on a range of issues, as well as coaching and mentoring support to postdocs in reaching key milestones expected in their fellowship programs. 


The Diversity Programs & Fellowships Manager will also support the Director of Programs & Outreach in developing, planning, and implementing programmatic elements and activities that will bring together a variety of high-profile postdoctoral fellowships focused on promoting diversity to create a larger, inter-connected community of postdocs supported by these fellowships. 


Additionally, the Diversity Programs & Fellowships Manager will work closely with the rest of the programs team to co-develop and engage in cross-team collaboration on program evaluation, best practices research, program communications, marketing strategy, and partnerships to support our team’s goals and values, as we work together to devise, implement, and support new approaches to postdoctoral training, recruitment, retention, and advancement. The OPA programs team is fast-paced, highly mission-driven, and takes great pride in our competence and our service-mindedness. Current School of Medicine fellowships managed by this role include the Propel Postdoctoral Fellowship Program; the Dean’s Fellowship Program; the Walter V. and Idun Berry Postdoctoral Fellowship Program; the Katharine McCormick Postdoctoral Fellowship to Support Women in Academic Medicine; and the Helena Anna Henzl-Gabor Young Women in Science Fund for Postdoctoral Scholars Travel Grant. Together these programs fund more than 50 scholars a year.


Duties include:

  • Independently implement, administer and evaluate day-to-day activities of the unit, function or program by identifying and executing tasks and objectives, making recommendations that impact policies and programs, and assigning resources to achieve the goals of the program.
  • Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program or function.
  • Analyze and interpret policies; develop, revise and implement procedures for program or function
  • Represent the program or function as the key contact and subject matter expert within the department, unit or school. Commit resources and provide information and/or training. May also represent the program or function to external/internal stakeholders and constituencies. 
  • Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting events and/or conferences.
  • May participate in development of budgets, monitor, and approve expenditures. May perform limited forecasting and provide recommendations that determine the budget. 
  • May direct staff to perform various tasks and assignments. May also supervise staff.

  • Master’s Degree preferred or Bachelor’s degree and five years of experience. Educational background in biosciences heavily preferred.
  • Previous experience in program coordination, postdoctoral administration, student services, or related field with focus on postdoctoral scholars and/or graduate students
  • Knowledge of Stanford administration systems preferred
  • Detailed knowledge of the range of challenges that postdocs and/or graduate students encounter; strong ability to identify needs and help provide for those needs
  • Strong communication skills to clearly and effectively communicate information to internal and external audiences, client groups, and management
  • Advanced analysis and problem-solving skills
  • Advanced customer service skills
  • Advanced computer skills, including experience with Microsoft Office Suite
  • Advanced project management skills
  • Marketing, social media and event planning experience



  • Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.
