The Department of Structural Biology, founded in the 1970’s as the first of its kind in the United States, is a world leader in the molecular and structural understanding of biology. Under the leadership of Ted Jardetzky, PhD, the department sits at the interface of physics, chemistry, and biology. Research in the department spans a wide range of biological problems at the molecular, cellular, tissue, and whole animal scales, and includes the molecular basis of transcription and translation, cellular signaling, development of multicellular tissues, virus structural biology, immunology, and computational biology. In order to make advancements, it is critical we also have strong leaders and staff in the areas of finance, administration and HR.  We continue to grow and evolve in changing technology and organizational effectiveness.

We are seeking a Director of Finance and Administration (DFA1) to join our team.  The Department of Structural Biology gathers the brightest people to work collaboratively across academic disciplines, harnessing the power of data and revolutionizing health care. With a total annual budget of $ 15 million, the Department of Structural Biology has over 60 faculty and staff, including two Nobel prize winners, working towards Stanford’s innovative culture: cross-disciplinary interests and a collaborative approach for transformative thought, processes, and systems.  

Reporting to the Chair, the Director of Finance and Administration (DFA) serves as the key business leader for the Department. In this role, the DFA partners with the chair and other faculty to manage the financial and administrative areas of the department to include grant management, faculty and academic affairs, and human resources. Additionally, the Director of Finance and Administration will work with the Chair on areas of strategic planning, grant portfolio development, and process excellence. The successful candidate will demonstrate empathetic yet courageous leadership, a growth-mindset, a solution-oriented approach to problems, as well as the ability to effectively communicate ideas to different audiences.

With a secondary reporting relationship to the Associate Dean and Chief Financial Officer of Stanford School of Medicine, the Director of Finance and Administration will also be a key leader at the school, and will work with peers and cross functional teams to enhance the overall school operations to support the mission of the School.

JOB PURPOSE:

Lead finance and administration operations for a School of Medicine's unit or units (institute and academic department). Manage staff to achieve one or more School of Medicine missions, goals and objectives. Ensure compliance in all areas. The duties of this position are typically split between 70% operational and 30% strategic. 

 

CORE DUTIES*:

  • Establish business and administrative mission and goals. 
  • Partner with faculty leadership on departmental affairs and advocate the unit's needs and goals to internal and external parties. 
  • Evaluate business processes and operational and/or financial effectiveness. Develop business plans.
  • Analyze department or program needs and make recommendations to senior leaders for changes in staffing, facilities, health and safety compliance, finance, technology and/or administrative functions. 
  • Work with the Chair and/or Dean's Office regarding resources to support faculty activities and interests.
  • Responsible for overall fiscal wellness and financial operations. Develop and monitor consolidated budget and analyze research funding; implement financial growth and sustainability strategies.
  • Recommend and develop strategies for general cost containment, strategic investments, and growth management. 
  • Manage over 40 staff in the day-to-day operations of the department. Responsible for collaborating with the Basic Science Shared Services Human Resources and Faculty Affairs teams for hiring and retaining staff, career coaching, ensuring required training is completed, personal development of direct reports, and is accountable for the performance of employees. Ensure work completion within schedule and constraints. Responsible for workforce planning and administration of staff for faculty and programs.
  • Responsible for ensuring a diverse and inclusive environment for staff, faculty, and trainees who represent diversity in race, ethnicity, gender identification, disability and abilities, sexual preference, and perspectives.
  • May independently or in collaboration with human resources managers, guide faculty supervisors in the interpretation and implementation of human resources policies, procedures and programs.
  • Oversee management of all student, fellow, residency related activities and graduate program administration. 
  • Represent the unit's needs in regard to research and service facilities; negotiate on behalf of the unit's current and future needs with the school and hospital(s)/clinic administration.
  • Interpret, implement and ensure compliance with academic and administrative policies and procedures within the unit.

DESIRED SKILLS:

  • Master’s degree (MBA, Public Health or related field)
  • Experience managing NIH and NSF portfolios
  • Experience with Pre-Award and Post Award management
  • Experience fostering/building relationships across the School of Medicine as well as promoting the mission and the School of Medicine’s strategic initiative for Precision Health. 
  • Experience partnering with leadership to build and promote the educational curriculum within the department.
  • Experience administering or managing operations and finance at an Academic Medical Center

 

MINIMUM REQUIREMENTS:

 

EDUCATION & EXPERIENCE:

  • Bachelor’s degree or combination of education and relevant experience. Three years of progressively responsible managerial experience, including financial and budget preparation and two years of supervisory experience. 

 

 KNOWLEDGE, SKILLS & ABILITIES:

  • Demonstrated supervisory skills including conflict resolution.
  • Demonstrated experience implementing financial funding concepts and regulatory agency policies and guidelines.
  • Working knowledge of grants and contract administration.
  • Strong knowledge of industry standards and/or regulatory requirements.
  • Demonstrated ability to identify and analyze all pertinent information/data to make and communicate decisions to meet the unit's current and future financial, research, academic and administrative needs.
  • Strong negotiation and effective interpersonal skills.
  • Ability to establish a culture of integrity within their unit and with those external to the unit.
  • Demonstrate to others that he/she is direct, truthful and credible.
  • Demonstrated skills as a receptive listener, influential and persuasive and seeks to understand the differing sides of each situation. Makes decisions effectively and decisively.
  • Demonstrated expertise in business and management concepts.

 

PHYSICAL REQUIREMENTS*:

  •  Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, use a telephone, writing by hand, lift/carry/push/pull objects that weigh up to 10 pounds
  • Rarely twist/bend/stoop/squat, sort/file paperwork or parts, lift/carry/push/pull objects that weigh 11-20 pounds.

The expected pay range for this position is $153,000 - $215,000 per annum/hour.

Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
