Accountant 2 – Stanford Cancer Institute Clinical Trials Office

Continuing Hybrid Position (Palo Alto)

The Stanford Cancer Institute (SCI) is one of an elite number of National Cancer Institute-Designated Comprehensive Cancer Centers in the country, and is a prominent, dynamic, growing and complex Institute within the Stanford University School of Medicine. The SCI actively works to build synergies and collaborations among faculty with cancer-relevant expertise from four Schools and over 30 departments across Stanford University. We seek an Accountant 2 to help us enact our mission to reduce cancer mortality through comprehensive programs of cancer research, treatment, education and outreach. Given the SCI’s mission, breadth, and depth, it employs over 320 staff members in a fast-paced, team-oriented, and forward-thinking environment with tremendous opportunities for personal and professional growth.

The Cancer Clinical Trials Office (CCTO) is an integral component of the Stanford Cancer Institute since the vital work performed there enables our adult and pediatric cancer centers to translate research from the laboratory into the clinical setting. You will be working with an unparalleled leading-edge community of faculty and staff who are fundamentally changing the world of health care in the cancer arena.

Reporting to the CTO Director for Business Services & Finance, the Accountant 2 will be conversant in the goals, mission and priorities of the Institute, and utilize this knowledge to serve as the Accountant for interpreting the budget, setting up fee schedules, timely invoicing, reconciling payments, and reaching out to sponsor on unpaid invoices. Working in collaboration with faculty, business managers, CRM, CRCs and other departments, hospital and University staff, the Accountant 2, assists the Finance team to receive the requests and gather all of the necessary documents for processing the amendments for invoicing and receivables on Clinical Trials. The Accountant 2 will ensure that the process is timely, compliant and includes accurate invoicing. We are seeking candidates with excellent oral, written, and communication skills and extreme attention to detail. Our staff run toward challenges, and you will have a demonstrated history of doing the same with a high degree of professionalism, initiative and flexibility. Responsibilities will include budget review and interpretation for new Clinical Trials and amendments, interpretation and application of pertinent government regulations and guidelines, develops the fee schedules, invoice for services performed relating to clinical trials, ensuring that the contract budgets and payment schedules/terms are used for invoicing, reconcile receipts with invoices, manage outstanding invoices, and timely reporting on the financial health of the clinical trials to both the PI, the CRG, and the Director.

Responsibilities include invoicing for new and ongoing studies, entering and attaching data and documents for new budgets and amendments to the Stanford invoicing systems like CRISP & OnCore, perform budget checks for new studies, invoicing on time, matching and allocating receipts to invoices, reconcile payments, follow up of unpaid invoices, LDAs to match expenses, help with LS for the CRG, journaling to move expenses in accordance with the University guidelines for clinical trials and reporting.

 Duties include*: 

  • Analyze accounting transactions and information to summarize current financial position at the unit or organization-wide level. Construct and assemble data for decision making; develop conclusions, and present high-level summary of recommendations. 
  • Capture, track, and report revenue and expenses; determine appropriate procedures for accounting record preparation, research of transactions and reporting. Oversee, reconcile, and resolve problems relative to complicated accounts. 
  • Collect data and perform research on details of transactions. Generate, review, analyze and communicate financial data that reflects actual financial performance against approved budgets. Prepare and present quantitative and qualitative analyses focusing on variances from budget and prior data. 
  • Run and analyze financial reports, often from multiple systems; prepare management information reports. 
  • Execute internal control programs established by management, research new regulations, and recommend and implement approved changes. May manage compliance program for area of responsibility, and create complex compliance reports. 
  • Contribute to unit and organization strategy; assist in the development of change management plans and materials as needed. Participate as a member of a project team; support new initiatives. Make decisions determining approach to managing and completing processes. 
  • Participate in critical analysis of existing systems and processes, and identify opportunities for process improvement. Define requirements, develop and implement complex test cases, perform system testing and analyze results. 
  • Serve as a resource to local units and other departments to resolve accounting-related issues. 
  • May act as a lead, train, coach, and review the work of other staff, as needed. Contribute primarily through applying individual expertise.

DESIRED QUALIFICATIONS:

  • Extreme attention to detail.
  • Ability to understand, interpret, and communicate Federal and University policies and procedures.
  • Advanced Excel application and knowledge is a plus.
  • Willingness to collaborate and cooperate with multiple team members is key for success in this role.

EDUCATION & EXPERIENCE (REQUIRED):

  • Bachelor’s degree plus four years of applicable experience or combination of education and relevant work experience.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Intermediate proficiency in business applications, such as Microsoft Office; intermediate Excel skills. 
  • Demonstrated knowledge of and experience with accounting systems and the internet; computer literacy. 
  • Understanding of and ability to apply accounting skills and concepts. 
  • Knowledge of Generally Accepted Accounting Principles. 
  • Demonstrated communication skills, including the ability to clearly and effectively communicate information to internal audiences and client groups. 
  • Demonstrated project management skills and ability to contribute as part of a project team. 

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.
  • Frequently sit, sort, file paperwork or parts, grasp lightly, and use fine manipulation, lift, carry, push and pull objects that weigh 10 pounds or less.
  • Occasionally write by hand, twist, bend, stoop and squat.
  • Rarely stand, walk, reach or work above shoulders and use a telephone.

The expected pay range for this position is $109,388 to $126,604 per annum.
