The Department of Medicine, Division of Blood and Marrow Transplantation & Cell Therapy (BMT-CT) is seeking an Administrative Division Director to provide strategic direction for the administrative and clinical related functions for a complex division with substantial impact within a department or institute. BMT-CT is a nationally recognized center of excellence, fully accredited by the Foundation for the Accreditation of Cellular Therapy (FACT) and a proud member of the Blood and Marrow Transplant Clinical Trials Network of the National Cancer Institute.

The Division is comprised of 20 dedicated Faculty and 50 staff employees, working alongside our outstanding clinical care team of talented fellows, residents, nurse practitioners, physician assistants, and expert nursing staff.  Together, all are aligned and work in unison to provide the best possible care for patients.

The Division is committed to performing cutting edge research exploring the basic biology of hematopoietic stem cells and effector T cells such as natural killer cells, regulatory T cells, cytotoxic T cells and B cells with the aim of exploring translational research opportunities wherever possible. BMT-CT is supported by grants from the National Institutes of Health including a Program Project Grant in its 30th year of funding as well as foundation support from Institutions like the California Institute of Regenerative Medicine and the National Marrow Donor Program. The Division runs a cell processing laboratory where all clinical material is prepared for transplantation and where complex cell separation and expansion protocols can be accomplished. 

The Administrative Division Director (ADD) has a challenging and rewarding job working with an exceptional group of faculty and staff in a dynamic and friendly work environment. The ADD oversees and manages financial and administrative affairs of the Division of Blood and Marrow Transplantation & Cell Therapy consistent with standards of performance that ensure University, School, SHC, and department business standards and objectives are met. Assist and advise the Division Chief. Ensure compliance in all functional areas (i.e., Finance, Human Resources, Research Administration, Clinical Administration, Facilities, Health & Safety, Education & Student Affairs, and Faculty Affairs) with applicable School, University, Federal, State, Local, agency, and Hospital/Clinic policies, procedures, laws, etc. Responsible for achieving the goals of both the Department and the Division through   effective long-range planning, program development and administration; policy formulation; financial management; supervision of administrative staff; human resources management including health and safety compliance; and space and facilities management. The duties of this position are typically split between 50% operational and 50% strategic. Responsible for an operating budget of about $30 million. 

Duties include:

  • Direct staff and provide leadership to achieve goals and vision of the division. Responsible for hiring and retaining staff, career coaching, personal development for direct reports and accountable for the performance of employees. 
  • Establish and manage clinical programs including outreach agreements and recruiting for new faculty, clinical educators, and instructors. Provide financial leadership to clinical programs to maximize clinical profitability. Establish measuring systems and tools to determine productivity of outreach agreements. 
  • Partner with Chief and DFA in working with Hospital(s) and Clinics in development of business and program planning; negotiate and monitor funds flow and productivity targets. Recommend and develop strategies for clinical cost accounting, revenue management and productivity reporting. 
  • Represent the division’s needs in regard to research, clinical and service facilities; negotiate on behalf of the unit’s current and future needs with the school and hospital(s)/clinic administration.
  • May independently or in collaboration with human resources managers, direct faculty supervisors and managers in the interpretation and implementation of human resources policies, procedures and programs.
  • Independently initiate and create strategic plans for division. Make recommendations that may impact the unit's Clinical and research capabilities. Identify and resolve strategic issues of substantial significance that affect the overall functioning beyond the immediate unit, consult and advise Chief and DFA. 
  • Interpret, implement and ensure compliance with academic and administrative policies and procedures within the unit. Recommend new internal policies, guidelines and procedures.
  • Ensure the financial success of the division. Oversee and/or manage the finances across all sources for the annual budget cycle, including developing, monitoring, analyzing forecasting and reporting. Coordinate with the hospital(s) budgeting process, negotiate funds flow agreements. May negotiate funding with the hospital(s) for programmatic needs along with the DFA. 
  • Manage and coordinate grants and contracts for the division. Ensure compliance with institutional and external requirements.
  • Oversee staff in the management of all student, fellow, residency related activities and graduate program administration. 
  • Establish business and administrative processes. Partner with faculty leadership on divisional and/or departmental affairs and advocate the unit's needs and goals to internal and external parties. Evaluate business processes and operational and/or financial effectiveness. Develop long-range business plans.
  • Make recommendations for changes in staffing, facilities, health and safety compliance, finance, technology and/or administrative functions. Work with the DFA, Chief, Chair and /or Dean's Office regarding resources to support faculty activities and interests.

EDUCATION & EXPERIENCE (REQUIRED):

  • Bachelor’s degree and five years of experience in administrative and financial management, or a combination of education and relevant experience

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Demonstrated leadership and supervisory, planning and change management skills.

  • Strong negotiation and effective interpersonal skills.
  • Attention to detail and accuracy.
  • Advanced expertise in business and management computer applications and databases.
  • Subject matter expertise for area(s) of responsibility.
  • Ability to multi-task and manage deadlines.

PHYSICAL REQUIREMENTS:

  • Constantly perform desk-based computer tasks. 
  • Frequently sitting. 
  • Occasionally stand/walk, writing by hand, use a telephone, lift/carry/push/pull objects that weigh 11-20 pounds.
  • Rarely sort/file paperwork or parts, rarely twist/bend/stoop/squat.

The expected pay range for this position is $157,974 to $190,384 per annum.
