Stanford Introductory Studies (SIS) is a unit in the office of the Vice Provost for Undergraduate Education that manages required and elective academic programs for first- and second-year students: COLLEGE, Introductory Seminars, ITALIC, Education as Self-Fashioning,  Structured Liberal Education, Sophomore College, Arts Intensive, and Summer Bridge. https://sis.stanford.edu/ 

SIS is seeking an Administrative Coordinator to provide administrative and operational support to our programs. As a member of the SIS business team and reporting to the Academic Affairs Administrator, you will provide administrative and finance support for SIS programs, including hiring student workers and processing financial transactions. 

We are looking for an organized, detail-oriented, motivated individual with strong interpersonal skills. A successful candidate will have a strong background in juggling competing demands, tracking multiple deadlines, and priorities with the highest degree of professionalism, accuracy, and attention to detail. The Administrative Coordinator must possess excellent project management and communication skills, exercise sound judgement in a variety of different situations, and handle confidential/private information with discretion.
 

In this role, you will*:

  • Hire over 100 student employees to work in our programs annually. Guide on student employment policies and procedures. 

  • Support the annual IntroSems curricular approval process for more than 200 courses that includes coordinating with colleagues across all seven schools. 

  • In addition to Microsoft Office and Google Drive, learn and utilize specialized software and systems such as Airtable to track information provided by many different partners. 

  • Anticipate and track tasks, deadlines, and associated action items and communicate updates with various stakeholders. 

  • Provide financial support for SIS programs, including processing a variety of financial transactions. Uphold policies relevant to financial and administrative processes.

  • Perform duties associated with organizing events for the IntroSems program for faculty, staff, and/or students. May include scheduling space, making arrangements with vendors, ensuring compliance with university and SIS policy, and obtaining necessary resources and supplies.

  • Provide general administrative support for the unit including SIS meetings and events and day-to-day office operations.

  • Constantly perform desk-based computer tasks. Frequently sitting. Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds. Rarely twist/bend/stoop/squat, kneel/crawl.

  • A high school diploma and four years of administrative experience, or a combination of education and relevant experience

  • Excellent organizational skills and attention to detail

  • Ability to take initiative and ownership of tasks

  • Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy, and tact

In addition, our preferred requirements include:

  • Associate or Bachelor’s Degree

  • Experience in an academic environment

  • Advanced knowledge of office software and email applications; including PeopleSoft, Oracle Financials, Airtable, Microsoft Office Suite, Google Suite

The expected pay range for this position is $39.20 to $45.56 per hour.

Stanford University provides pay ranges representing its good faith estimate of the salary or hourly wage the university reasonably expects to pay for a position upon hire. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
