In this role you will be required to: 

 

Administrative support

  • Answer the department’s main phone lines during regular business hours or when the office is opened for special events.  Route calls appropriately, including to Palo Alto Police when warranted; troubleshoot and resolve caller inquiries by providing accurate information.
  • Provide high quality customer service at all times.
  • Respond to walk-in requests for assistance at the front counter of the Police department.
  • Provide general administrative assistance with filing, copying, stocking supplies, etc. 
  • Enter non-confidential information, such as training data, into departmental databases.
  • Perform scanning and data entry for department documents and other projects as assigned.
  • Proofread documents as requested including the annual Safety Security and Fire Report.
  • Provide logistical support for meetings, emergency drills and training classes by ordering refreshments, making copies, arranging for meeting space, etc.
  • Sort and distribute incoming department mail.

 

Additional Duties

  • Monitor a police radio during one’s assigned shift and be alert to incidents which would require the issuance of a “Timely Warning” or “Immediate Notification.” 
  • All members of the Stanford Department of Public Safety are considered essential or required University personnel and are expected to respond to campus during a major emergency to assist the department with the management and mitigation of the emergency.
  • Perform other duties as assigned.
  • **Weekend work and shift work may be required, sometimes with little advanced notice, including 5-8 home football games each year. **

  • Computer skills in basic applications (e.g., Word, Excel) and the ability to adapt to new technologies and processes.
  • Desire to learn, accept and promote the Department’s Core Values.
  • Familiarity with University policies and procedures, preferred.
  • Familiarity with Law Enforcement administrative operations support preferred.
  • Ability to maintain physical condition appropriate to the performance of assigned duties and responsibilities which may include sitting or standing for extended periods of time, sometimes in inclement weather conditions, and operating assigned office equipment.
  • Possess and maintain a valid CA driver’s license.
  • Be 18 years of age or older.
  • Minimum education required:  High School diploma or GED.

 

Special Requirements

  • Applicant must pass a complete background investigation including a fingerprint check, and a search of local, state, and national files for criminal history.
  • Must possess and maintain a valid California driver’s license.
